Instructor Rules & Responsibilities
Online Course Exams
Instructors who require a test proctor for their exams and quizzes must complete and submit the Proctored Exam Form at the end of each semester, for the following semester.
Written Exams/Handouts for Online Courses
The Proctored Exam Form must be submitted as above. Instructor may electronically attach handouts or written exams to the Proctored Exam Form, or email them to the Testing Center Coordinator, at the end of each semester, for the following semester. The Testing Center Coordinator agrees to be responsible for printing a copy of the exam and temporarily storing the exam file in a secure Testing Center teams folder. The instructor may bring the exam and/or any back-up documents to the Testing Center if no electronic version is available.
Makeup Exam or Other Special Exam Arrangements
Notification of a special exam arrangement must be communicated to the Testing Center Coordinator as soon as possible.
Using this link with simultaneously notify both the student and the Testing Center of the special exam arrangement/alternate exam date approval:
- Include the course number, quiz/exam number, student name, time allowed and completion date deadline.
- The student will be required to email or call the Testing Center to schedule the exam by the deadline stated in your approval emailed to them and the Testing Center.
For any special exam arrangements for more than one student and/or changes to your original Proctored Exam Information, please email or call the Testing Center 402.552.3034 to discuss.
Approved Accommodations &/or ELL time extensions
Proctored Exam Information Form:
- If you have already submitted the Proctored Exam Form, for your course, RegisterBlast is already updated with your exam parameters under which any student may reserve a seat in the Testing Center, for scheduled exams, make-ups, approved accommodations, or ELL time extensions.
- If you have a student needing to utilize the Testing Center, and have not yet submitted the Proctored Exam Form for the term, we will need the Proctored Exam Form, for your course. Note: This is not applicable, per student, but per course, so only needs to be submitted once.
The Proctored Exam Form provides us with your exam parameters, per course, which we build into RegisterBlast to ensure students are scheduling a seat to securely test only during approved dates, and time allowances, in particular. To permit students to test outside of those date parameters, we would need to receive the Alternate Exam Date Approval form, referenced above.
Accommodation approval process:
Accommodations Procedure: For information about testing services available to individuals with disabilities, contact the Accommodations Coordinator.
- The student must reach out and discuss their needs and situation with the Accommodations Coordinator. If they receive approval for accommodations, an approval letter is generated for the student and copied to their Instructor, per the schedule in Self Service.
- If the approved accommodation(s) include extended time, the instructor will add that increased time to the individual student’s record in Canvas.
- The Testing Center will update RegisterBlast with the extended time factor, such as 2x, for that student. When the student schedules through RegisterBlast to test in the Testing Center, that time factor calculates the time extension, using the “Time Allowed” provided on the Proctored Exam form, for the course per exam, to schedule the student accurately. Therefore, if a Proctored Exam form is already submitted to the Testing Center, for your course, no additional form is needed by the Testing Center. But if the Proctored Exam form for your course has not been sent to the Testing Center, it’s required at this time for your student to schedule in the Testing Center.
English language learner (ELL) students are a diverse group of students whose primary language is not English. As ELL students continue to learn the English language, we recognize that translation during testing can pose a barrier. Therefore, if you are an ELL student, Clarkson College offers extended time to take your quizzes and exams in several courses. In our course, Couse Title XX:123, ELL students who enroll in this resource will receive X extra time for each quiz and examination. Enrolling in this resource will have no negative repercussions for any student. Please speak with the course instructor to enroll in this resource.
If the extended testing time overlaps with scheduled in-class activities, it is the student’s responsibility to arrange alternate testing times with their instructor. [Individual instructor can modify this based on their course needs.]
- The student must reach out to their course instructor to discuss enrolling in this resource, as instructed above from their syllabi.
- If the extended time is approved per the course Instructor, the Instructor will add that increased time to the student’s record in Canvas, and submit the ELL Testing Modification form to the Testing Center.
- The Testing Center will update RegisterBlast with the extended time factor from the ELL Testing Modification form, such as 2x, for that student. When the student schedules through RegisterBlast to test in the Testing Center, that time factor calculates the time extension, using the “Time Allowed” provided on the Proctored Exam form, for the course, per exam, to schedule the student accurately. Therefore, if a Proctored Exam form is already submitted to the Testing Center, for your course, no additional form is needed by the Testing Center. But if the Proctored Exam form for your course has not been sent to the Testing Center, it’s required at this time for your student to schedule in the Testing Center.
Note regarding varied time extension approvals per student:
- If the student is approved for both a time extension accommodation and an ELL time extension, the Testing Center will enter into RegisterBlast, the greater of either approval.
- If multiple Instructors provide ELL time extensions for a student, the Testing Center will enter into RegisterBlast, the greater of all approvals.
Keep in mind that the RegisterBlast time factor, updated via the Testing Center, is used to save a seat in the Testing Center for the appropriate exam duration, but the Canvas time extension, for which the instructor is responsible, drives how long the student is permitted to complete the exam before it must be submitted via Canvas. Canvas must be accurate before the student starts the exam, or the exam may submit prematurely.
Courses with accompanying ATI exams
Becky Allen coordinates any time extensions for ATI exams, when notified for students with approved accommodations or ELL time extensions. This would apply for students in the Testing Center, or proctored by their Instructor. Time extensions can ONLY be 1.5x or 2x, not 1.25x. And, ATI exams may not be taken off campus.
Instructors who are responsible for coordinating ATI exams as part of their course, must complete and submit to the Testing Center the Proctored ATI Exam form at the end of each semester, for the following semester. The Testing Center sets up schedule options in RegisterBlast using the “initial” exam details from the form, regardless if proctored by the instructor, or not. From the form, 4 Retake appointment options are created, as appropriate, for the student to schedule, as needed. Retake exam date ranges are entered as 2 days after the initial exam date, through the first Friday of the following term.
ATI Retakes
- Upon a student showing in the Testing Center for their scheduled Retake exam, the proctor will review the e-mail approval sent by the instructor to the student, authorizing such Retake.
- Unless otherwise designated, the student must also provide verification that they completed the appropriate practice exam, with a score of 80% or greater, on a date on or after the e-mail.
The e-mail is to read like:
Student Name,
I have reviewed your remediation and you are now eligible to take the ATI proctored assessment RN Name of Assessment Retake X (the number of retake) after you have completed the RN Name of Assessment Online Practice B (goes with retake 1, 3, 5, etc and A will be with 2, 4, 6, etc.) with 80% or better. The assessment must be completed on or after the date of this message. The assessment ID for the practice exam is XXXX and the password is XXXXXXX. When you have completed Practice B and achieved an 80%, please use the online scheduling system to schedule your ATI test to be taken in the Testing Center. You will sign up for NS XXX/XXX Name of Assessment ATI (Retake X).
On the day you test, you will need to provide to the Testing Center staff a copy of this message and proof of completing the Practice Assessment with an 80% from today’s date or later; electronic or printed copies are acceptable.
